What it does

Your entire property administration in one place

🏦

Direct bank connection

Connect your bank account and import your transactions automatically — no more importing statements or retyping lines.

🧾

Post purchase invoices

Purchase invoices arrive in your inbox, get recognised and are posted to the right category.

📚

Ledger & categories

A chart of accounts per portfolio. See exactly where your money goes per category, per property and across the portfolio.

🧮

Prepare the VAT return

Sales and purchase invoices together give the VAT payable and the input tax per return period.

🔗

Automatic reconciliation

Match payments from the bank feed to outstanding invoices, so your balances add up by themselves.

📊

Complete reporting

From an operating statement to an ageing analysis — financial overviews that are always up to date.

Bank connection

Your transactions arrive by themselves

Connect your business account once and Protiva fetches your transactions automatically. No more downloading statements, no more retyping lines — your movements are there live.

Then you reconcile: every credit you match to the corresponding rent or sales invoice, every debit to the right purchase invoice or cost category. That keeps your debtor and creditor positions correct without manual work.

  • ✓ Transactions imported automatically
  • ✓ Reconcile against outstanding invoices
  • ✓ Post bank movements to a category and property
  • ✓ A secure connection, entirely within the EU
Purchase invoices & ledger

Post your costs to categories

  • ✓ Purchase invoices recognised and linked to the property
  • ✓ Posted to categories (ledger accounts)
  • ✓ Your own chart of accounts per portfolio
  • ✓ Costs visible per property and per portfolio

You post every purchase invoice to a category — maintenance, HOA, insurance, management or financing. Protiva uses a chart of accounts that you set up per portfolio, with a standard set of accounts and room for your own categories.

That means the financial overview and the ledger report show exactly where your money goes — neatly broken down and linked to the right property.

Reports

A rent roll with rent, service charges and indexation date, plus vacancy and occupancy per unit.

📥

Debtors

An invoice overview and payment status, turnover per debtor and an ageing analysis of outstanding balances.

📤

Creditors

All purchase invoices with payment status, costs per creditor and an ageing analysis per supplier.

🧰

Service charges & operations

Service charge settlements and overviews per lease, and a deposit overview with outstanding balances.

Every report can be filtered by period and portfolio, and exported.

VAT return

The return largely prepared for you

Because both your sales invoices and your purchase invoices live in Protiva, the platform can calculate the VAT payable and the input tax per return period. The VAT report follows the boxes of the Dutch VAT form.

That way you copy the amounts straight into your return, or share the overview with your accountant. It saves the manual digging at the end of every quarter.

  • ✓ VAT payable from your sales invoices
  • ✓ Input tax from your purchase invoices
  • ✓ Broken down per return period
  • ✓ Following the boxes of the VAT form

The VAT report is a preparation for your return, not tax advice; your tax adviser remains responsible for the final return.

Accounting and reports are part of the complete package for the property owner. See how the bank connection fits in with the integrations, or read how it works.

Frequently asked questions

Can I connect my bank account?

Yes. With the direct bank connection you import your transactions into Protiva automatically — no more importing statements or retyping. You then reconcile your payments against outstanding invoices, so your debtor and creditor overviews are always right.

How do I post my purchase invoices?

Purchase invoices arrive in your inbox, are recognised by AI and linked to the right property. You then post them to categories (ledger accounts) — maintenance, HOA, insurance, financing — so you see exactly where your money goes, per property and across your whole portfolio.

Can Protiva prepare my VAT return?

Yes. Because both your sales and your purchase invoices live in Protiva, it calculates the VAT payable and the input tax per return period. The VAT report follows the boxes of the Dutch VAT form, so you can copy the return across or share it with your accountant.

Which reports are there?

Protiva has a complete reporting suite: operating statement and ledger, returns and VAT reports, rent roll and vacancy & occupancy, invoice overviews and ageing analyses for both debtors and creditors, turnover and costs per counterparty, and service charge and deposit overviews. Everything can be filtered by period and portfolio, and exported.

Does this replace my accounting package or my accountant?

Protiva handles the property administration: bank feed, invoicing, costs by category and reports that add up. The figures are ready to export or share with your accountant. For your final return your adviser remains in the lead.
