All your comunidades in one environment, from register to junta general
The register with shares and votes, the budget and the contributions, meetings and decisions, repair requests and the maintenance plan: everything for managing comunidades de propietarios in one place. The owners use Protiva for free, in their own language.
A register that adds up, from day one
Every comunidad starts with its register: which homes, commercial units, storage rooms and parking spaces there are, who owns them and which share and how many votes belong to each. Protiva adds up the shares and shows you when the total is off.
Taking over an existing comunidad is not a typing job: you import the owner list from the file you already have. Owners without an account are simply in the register, and anyone who wants to joins with a link code for their own home.
- ✓ Shares and votes per property, with a total check
- ✓ Storage rooms and parking spaces with the home they belong to
- ✓ Import the owner list from a CSV file
- ✓ Owners join with a link code
Budget, contributions and the accounts
A contribution is not a field you fill in but an outcome: the budget times the share, at the rhythm the comunidad chooses.
Budget per financial year
Draw up the budget and Protiva divides it by share. See what each owner's contribution will be, before the meeting.
Contributions monthly, quarterly or yearly
Protiva invoices every owner their own contribution at the comunidad's rhythm, and every owner sees their own balance.
Reminders
If a contribution stays unpaid, the reminder follows on its own. You see per owner what is outstanding.
Sales and purchase invoices
Supplier invoices are read by AI and booked to the comunidad; your own invoices go out from its administration.
Bank
Connect the comunidad's account and import the transactions. Payments are matched against invoices and contributions.
Reports and export
Reports per comunidad, filterable and ready to export to your own accounting package.
What was decided, and who knows it
The general meeting, what was decided there and what owners need to know in between, in one place.
Meetings
The annual general meeting and meetings in between, with date, place and papers.
Digital voting
Every owner gets a personal link with the notice of meeting and votes in advance with it, no account needed. In the room you record the remaining votes on the same count, weighted per property as in the register.
Proxies
Owners who cannot attend use the same link to appoint another owner or someone else as their proxy. You see the proxy on the attendance list straight away, with the time.
Decisions and action points
What was decided and who picks up what, easy to find even years later.
Noticeboard with translation
One button translates a notice into the reader's language; the original stays.
Messages and documents
Post, email and shared files with the comunidad they are about.
From repair request to maintenance plan
- ✓ Repair requests from owners and residents
- ✓ Work orders with a quote
- ✓ Inspections with photos
- ✓ Long-term maintenance plan
An owner reports a broken lift or a leak in the stairwell. You turn it into a work order for your regular service provider, who submits a price for approval and closes the job with photos.
Inspections of roof, facade and installations are recorded per comunidad, with the long-term maintenance plan for the common parts right next to them, so next year's budget knows what is coming.
The owners pay nothing
Owners and residents use Protiva for free, in their own language: the noticeboard, the comunidad's documents, their own contributions and reporting a repair. The more owners join in, the fewer emails and calls land on your desk.

Frequently asked questions
Is Protiva also for a junta that runs the comunidad itself?
Yes. A board that manages its own comunidad works in the same environment and follows the same price list as an office.
Can I take over an existing comunidad without retyping everything?
Yes. You import the owner list from a CSV file, record the properties with their shares and votes, and invite the owners whenever you like.
Can owners vote online and appoint a proxy?
Yes. Every owner gets a personal link with the notice of meeting. It works without an account, in the browser of any phone. With it, owners vote in advance on the open proposals, or appoint another owner or someone else as their proxy. In the room you record the remaining votes on the same count. The result goes into the minutes as a decision, with the votes for and against. Whether an advance vote counts depends on the bylaws and the law of the country. Protiva adds up the votes and the chair declares the result.
Do the owners pay anything?
No. The office or the junta pays; owners and residents use Protiva for free.
Does Protiva work with my accounting package?
You keep the comunidad's invoices, bank and contributions in Protiva and export the figures to your own accounting package.
Which countries does it work in?
Every country Protiva is active in. The names follow the country: a VME in Belgium, a comunidad de propietarios in Spain, a copropriété in France and a WEG in Germany.
Can an office sign itself up?
Yes. When you sign up, choose which kind of office you are and enter your name and email address. The link in the activation email then asks for your office's name and country. The first 30 days are free and you don't need payment details. After that you pay monthly on invoice. Rather see it first? Book a demo and we'll show it with your own comunidades.
