Understanding the sales invoices overview
The Sales invoices overview shows all your outgoing invoices — rent, service charges, deposits and one-off items — with status tabs and summary amounts so you can see at a glance what is outstanding.
Where to find this
Go to Sales invoices;
Tabs
At the top of the list, tabs let you filter invoices by status. Each tab shows a counter with the number of invoices and, on hover, the total amount.
- All — all invoices regardless of status.
- Open — invoices that still have an outstanding balance (sent, partially paid or overdue). Drafts and fully paid invoices are excluded.
- To collect — outstanding invoices with a direct-debit payment condition that are ready to be included in a direct-debit batch.
- Paid — invoices with the status Paid or Credited.
- Scheduled — invoices that will be created automatically soon based on active leases and financings.
- Draft — draft invoices that have not yet been sent or finalised.
Columns
The table contains the following columns. You can show or hide columns using the column picker.
- Invoice no. — the invoice number, or "Draft invoice" for drafts. Clicking opens the edit view.
- Contract — the tenant(s) on the lease and the property address. Clicking opens the linked lease, tenant or property.
- Period — the invoice period (start and end date), or the invoice type for deposit invoices.
- Invoice date — the date the invoice was created.
- Due date — the payment due date.
- Amount — the total amount including VAT.
- Paid — the amount already paid (not applicable to credit notes).
- Outstanding — the remaining outstanding amount.
- Status — the current status as a colour-coded label: Draft (grey), Open (blue), Partially paid (orange), Overdue (red), Paid (green) or Credited (grey).
Subtitle
Below the page title a summary shows the total outstanding amount and, when there are overdue invoices, the overdue total. This gives you an immediate sense of how much is still due.
Sorting
By default, draft invoices appear at the top, followed by the remaining invoices sorted by invoice number (newest first). Click a column header to change the sort order; drafts always stay at the top.
Master-detail view
Click a row to open the invoice in a split view: a compact list with search and filter options on the left, and the detail pane with PDF preview, log and notes on the right. The search term and active filters are preserved when switching between the full list and the split view.
