Understanding estimated versus booked costs (interest and HOA)

In the operating statement, financing interest and HOA contributions default to the estimate entered on the property. As soon as you book actual costs, the booked amount automatically replaces the estimate — nothing is ever double-counted.

Where to find this

  1. Go to Reports;

  2. Open the operating statement.

How the cost basis works

Each property row in the table shows a small label beneath the Interest and HOA columns: estimated or booked. This label is called the cost basis and indicates where the amount comes from.

Estimated

When there are no actual bookings, Protiva uses the monthly estimate you recorded on the property (financing interest or HOA contribution). The label estimated appears beneath the amount.

Booked

As soon as you book costs to the Financing Interest or HOA Contribution ledger account — via a purchase invoice or bank booking — the actual amount is used. The estimate is then automatically dropped and the label switches to booked. This prevents Protiva from double-counting.

Sub-rows (income per contract)

When you expand a property row to view income per contract, the sub-rows do not show an interest or HOA amount. Costs are calculated at the property level, not per contract. The sub-rows therefore display a dash (—).
