The Purchase invoices overview
The Purchase invoices overview shows all invoices you receive from suppliers and creditors. Use the status tabs and filters to quickly find invoices that need attention.
Where to find this
Go to Purchase invoices;
Status tabs
Above the list you will find tabs that filter invoices by processing status. Each tab displays a counter with the number of invoices and shows the total amount on hover.
All
Shows all purchase invoices regardless of their status.
To process
Invoices that arrived via the mailbox and have not yet been processed. The AI OCR automatically fills in the supplier, date and amounts; review and save the invoice to move it to the next status.
To pay
Processed invoices that need to be paid manually.
Direct debit
Invoices from suppliers that collect payment themselves via direct debit. You do not need to pay these invoices manually.
Open
Processed invoices whose due date has not yet passed and for which no direct debit mandate applies.
Overdue
Outstanding invoices whose due date has passed. These require immediate attention.
Paid
Invoices that have been fully paid.
Columns
The list displays the following columns by default:
- Invoice no. — the invoice number and supplier name. Click the invoice number to edit the invoice.
- OCR — whether automatic text recognition has been completed.
- Date — the invoice date.
- Due date — the due date of the invoice.
- Amount — the total invoiced amount.
- Outstanding amount — the remaining outstanding amount.
- Status — the current status as a colour label.
Searching and filtering
Use the search field to search by invoice number or supplier name. Use the filter button to add additional filters such as supplier. Active filters appear as removable chips above the list.
Detail view
Click a row in the list to open the master-detail view. A narrow list with the same filters and search term appears on the left; on the right you see the source document, the log and the notes for the selected invoice.
