Reading the service costs overview

The service costs overview shows the monthly advance and the accrued amount since the last settlement per active contract, across both settlement systems.

Where to find this

  1. Go to Reports;

  2. Open the service costs overview.

Summary tiles

At the top of the page four tiles display the key totals:

  • Contracts — the number of active contracts with service costs, split into the count on the Settlement system and the count on the Manual system;
  • Advance / month — the total monthly service cost advance across all contracts;
  • Accrued advance — the total amount charged since the last settlement (or the contract start, plus any opening balance), including credit notes;
  • Manual to settle — the total of the manual contracts that still needs to be corrected; this amount turns red when it is greater than zero.

Table columns

The table contains one row per contract with service costs:

  • Property — the name of the property, as a clickable link to the property page;
  • Unit — the unit the contract relates to, as a clickable link to the contract;
  • Tenant(s) — the name of the tenant(s), as a clickable link to the tenant page when available;
  • System — the settlement system: Settlement (the service costs module is enabled and the advance is settled via the formal final settlement) or Manual (the module is disabled and the advance runs as a reconcilable cost line on the contract);
  • Advance/mo — the monthly advance amount for this contract;
  • Accrued — the amount accrued since the last settlement or contract start;
  • Since — the date on which accrual started;
  • Last settlement — the date of the most recent settlement, or a dash if no settlement has taken place yet.

At the bottom of the table a totals row shows the sum of the Advance/mo and Accrued columns.

Property filter

Use the Property filter above the table to narrow the overview to one specific property. By default all properties are shown.
